How do I find the details of a specific vehicle?

To find the full details of a vehicle in your fleet, open its vehicle file from the vehicle list. The vehicle file brings together everything you need to know about a specific vehicle — its technical information, assigned driver, maintenance status, contracts, and costs — in one place.

Step 1 — Go to the vehicle list

1. In the main menu, go to Reference.
2. Select Vehicles.

The vehicle list shows all vehicles currently in your fleet. By default it shows only active vehicles — those currently in circulation. Each row in the list shows the key information at a glance:

• Licence plate
• Make and model
• Fuel or energy type (petrol, diesel, electric, plug-in hybrid, natural gas, hydrogen)
• Organisational unit the vehicle belongs to (for example, Sales, Management, Operations)
• Current mileage
• Lifecycle status (active, on order, being returned, out of service)
• For electric and hybrid vehicles: current battery charge level and estimated remaining range
• Currently assigned driver
• Vehicle category (passenger car, light commercial vehicle, specialised vehicle)

Step 2 — Find the vehicle you are looking for

Use any of the following to narrow down the list:

• Search bar — type any keyword such as a licence plate, driver name, or model
• Status filter — show vehicles by lifecycle stage (for example, active only, or include vehicles on order)
• Driver filter — show all vehicles assigned to a specific driver

You can also customise which columns are displayed by using the Columns panel, and reset to the default view at any time.

Step 3 — Open the vehicle file

Click on any row in the list to open the full vehicle file for that vehicle.

The vehicle header

At the top of every vehicle file, a permanent banner shows the essential identity of the vehicle regardless of which tab you are viewing:

• Licence plate, make, model, and trim version
• Current mileage
• Assigned driver, or a clear indication that the vehicle is unassigned
• Organisational unit
• GPS tracking group
• Whether the vehicle belongs to a shared pool
• Contract management type (for example, leasing or ownership)
• Whether its registration record is up to date with the national vehicle database
• Alert counters showing how many active alerts exist across categories — so you can see at a glance whether action is needed

The Summary tab

The vehicle file opens on the Summary tab by default. This gives you a complete operational picture of the vehicle on a single screen, including:

• Current mileage (visual gauge) and fuel or battery level
• Maintenance and compliance status — whether scheduled servicing, technical inspection, pollution control check, tyre condition, brakes, and spark plugs are up to date or overdue, with the date each was last completed
• The GPS device fitted to the vehicle and when it was installed
• Real-world average fuel consumption in litres per 100 km
• Actual cost per kilometre
• Full technical identity: licence plate, chassis number (VIN), make, model, version, vehicle category, body type, fuel type, CO₂ emissions, and tank capacity

Other tabs available

Use the left-hand menu to navigate to more detailed information:

• Characteristics — full administrative and technical master record, including lifecycle status, key dates, vehicle classification, Crit'Air (air quality) rating, CO₂ figures, attached documents, and photos
• Registration Certificate — official data from the vehicle registration document, including chassis number, owner details, weights, and engine specifications
• Cards and Badges — fuel cards and access passes attached to this vehicle
• History — a full chronological log of everything that has happened to the vehicle since it entered the fleet
• Contracts — all contracts linked to this vehicle, including leasing, insurance, maintenance, and tyres
• Cost Monitoring — every expense ever recorded against this vehicle
• Mileage Deviation — whether the vehicle is staying within its contracted mileage limits

Note: The information visible in the vehicle file depends on your user permissions. Some tabs or fields may not be visible depending on your account access level.
