How do I view the lease rate and insurance for a vehicle?

To find the lease rate and insurance costs for a vehicle, open its vehicle file and go to the Summary tab for a quick overview, or the Contracts tab for the full list of contracts. Both are accessible in a few clicks from the vehicle list.
How to get there
- In the main menu, go to Reference.
- Select Vehicles.
- Find the vehicle in the list and click on its row to open the vehicle file.
Viewing lease and insurance costs on the Summary tab
The Summary tab gives you a financial overview of the vehicle without needing to navigate further. It shows two sections relevant to lease and insurance costs.
Lease or rental contract summary
This section shows the key details of the vehicle's main lease or long-term rental agreement:
- Leasing company or supplier name
- Contract reference number
- Contract duration and total mileage allowance
- Monthly rental cost including VAT
- Contract start date and end date
- Whether the contract is currently active or has expired
Monthly cost breakdown
This section shows all recurring monthly costs associated with the vehicle, including:
- Insurance premium
- Maintenance contract cost
- Fuel
- Tyres
- Replacement vehicle allowance
- Employee contribution (if applicable)
- Total monthly cost — the combined figure across all categories
Note: If a contract or cost line shows as expired, the contract end date has passed. Contact your leasing company or insurance supplier to confirm whether a renewal is in place.
Viewing the full contracts list
For the complete list of all contracts attached to the vehicle — including the leasing agreement, insurance policy, maintenance contract, and tyre contract — go to the Contracts tab.
In the left-hand menu of the vehicle file, click Contracts.
The list shows every contract linked to this vehicle, with the following details for each:
- Supplier name
- Type of contract or service (for example, leasing, insurance, maintenance, tyres)
- Contract reference number
- Contract start date
- Duration in months
- Contract end date
By default, the list shows only contracts currently in progress. To see expired contracts as well, toggle the filter to include past contracts.
Use the search field to find a specific contract by supplier name, contract type, or reference number.
Important: If a contract you expect to see is not showing, check that the filter is not set to current contracts only. Expired contracts are hidden by default.
